iDoc AP · review
The invoice next to the fields.
Check the fields, fix anything wrong, then save a draft or submit for review. Supplier memory learns when you submit.
The review screen shows the invoice next to the fields the iDoc API read. At the top, iDoc AP shows what it found: All checks passed, or the reasons the invoice needs attention, the PO / goods receipt match, the due date and any early-payment discount.
Badges next to each field
| Badge | Meaning | What to do |
|---|---|---|
| Green, 85% or more | Read with high confidence. | Glance at it. |
| Amber or red | Read with lower confidence. | Compare with the invoice and correct if needed. |
| memory | Filled from what iDoc AP learned about this supplier. | Check it once; change it if this invoice is different. |
| edited | You changed it. | Nothing. |
| not found | A required field was not on the invoice. | Type it in. |
Turn on Show only fields that need checking to hide everything that was read confidently.
Document type
Next to the status is the document type: Invoice, Credit Note, Debit Note, Statement, Quotation or Other. iDoc AP sets it from the document. Statements and quotations cannot be submitted for payment. A credit note is linked to its original invoice when the invoice number is printed on it.
Supplier and bank account
iDoc AP matches the supplier by tax ID (TIN), then by name. When the bank account on the invoice is different from the supplier master you see a red warning.
Possible duplicates
When an invoice looks like one already in the register (same file, same supplier and invoice number, or same supplier and total within 7 days) a banner lists the matches with links. A reviewer can mark it Not a duplicate with a reason, or discard / reject it. A probable duplicate (same file, same e-invoice, or same supplier and invoice number) cannot be submitted until this is decided. A similar total is only a warning.
Viewer
Put the invoice on the left, on the right, above the form, or hide it. Drag the divider to resize. Your choice is remembered. Inside the viewer you can page, zoom, fit to width or page, rotate and open the file in a new tab.
Save or submit
- Save draft keeps your work without sending it for approval.
- Submit for review starts the approval route and files the invoice. Supplier memory learns from the invoice when you submit.
- Close leaves without saving.
